Accessing the Add Receipt Screen
You can open the Add Receipt screen by:
- Opening Add Transaction in expense mode and tapping the split icon next to the Category field
- Using the Add Receipt option from an account's transaction view
- Converting an existing transaction to a receipt via the Edit Transaction menu
When opened from Add Transaction, Budgetum carries over the selected account, date, contact, and any amount already typed as the receipt total. A selected category is used only to filter store suggestions; it is not applied to receipt items.
How Receipts Work
A receipt in Budgetum is a collection of items that all share the same:
- Date - When the purchase happened
- Account - Which account you paid from
- Contact - The store or business where you shopped
Each item within the receipt can have its own:
- Amount - How much that item cost
- Category - Which budget category it belongs to
- Description - What the item was
- Tags - Additional labels for organization
This lets you accurately categorize a single shopping trip across multiple budget categories.
Add Receipt Screen Layout
Total and Date Row
At the top of the form:
Total Field:
- Enter the total amount from your receipt
- Tap to open the calculator-style number picker
- This is the target amount—your item totals should match this
- The app will alert you if your items don't add up to the total
Date Field:
- Shows the receipt date
- Tap to open the date picker
- All items on this receipt will use this date
Account Selection
From Account Field:
- Select which account you paid from
- Tap to open the account picker (only accounts in your current main currency are available; foreign-currency accounts cannot be used on receipts)
- Use the clear button (×) to clear the selection
- Quick-select chips appear below showing recently used accounts in your current main currency (chips may be hidden when you have only one default account and it is already selected)
This account will be applied to all items on the receipt. The account section is only shown when you have at least one active account.
Contact Selection
"Paid to" (Payment Recipient) Field:
- Select the store or business where you made the purchase
- Tap to open the contact picker, or tap a chip to select a recent contact (tap again to clear)
- Quick-select chips show recently used contacts. When Add Receipt was opened from Add Transaction with a category selected, the chips show contacts recently used with that category. Opening the contact picker uses the same category for its suggestions.
This contact will be applied to all items on the receipt.
Note: This field only appears if you have the "Show contact on transaction creation" setting enabled.
Items List
Below the header fields, you'll see:
"Add Item" Button:
- Tap to add a new item to the receipt
- Opens the Add Receipt Item screen
Items Card:
- Lists all items you've added
- Each item shows:
- Category name and icon
- Description (if provided)
- Tags (if assigned)
- Quantity badge (if more than 1)
- Amount in the category's color
- Tap any item to edit it
Balance Indicator
At the bottom of the screen, a colored bar appears when your items don't match the total:
"Remaining: $XX.XX" (Blue)
- Your items total less than the receipt total
- The remaining amount needs to be assigned to items
- Tap "Fix" to quickly add an item for the remaining amount
"Excess: $XX.XX" (Red)
- Your items total more than the receipt total
- You've added more than the receipt amount
- Tap "Fix" to automatically adjust the total to match your items
The save button only appears when your items exactly match the receipt total.
Closing the screen: Tap the close (×) button to leave. If the total, date, account, contact, or items differ from when you opened the receipt, the app asks whether to discard your changes. An unchanged receipt closes immediately.
Adding Receipt Items
When you tap "Add Item", the Add Receipt Item screen opens with these fields:
Amount and Count Row
Amount Field:
- The price of this item
- Tap to open the calculator number picker
- Enter the unit price if buying multiples
Items Count Field:
- How many of this item you bought
- Defaults to 1
- The field is read-only; tap it to open the Number Picker (titled Items Count)
- Must be a positive whole number (1, 2, 3, …). You cannot type a count freely, and decimals or zero are rejected
- Increase for multiples (e.g., 3 bottles of water)
- The total for this line will be amount × count
Price Suggestions: When you have a category (or description) entered and have more than one previous price for similar transactions, price chips appear below the amount field. Tap a chip to quickly select that price.
Category
Category Field:
- Select which budget category this item belongs to
- Only expense categories are shown (receipts are for expenses)
- The category's icon and color help you identify it
- If you've already added items, the last-used category is remembered
Description
Description Field:
- Describe what this item is
- Examples: "Milk 2%", "Birthday candles", "Paper towels"
- Helps you remember what the purchase was for
- Supports multiple lines for longer notes
Description Suggestions: After you select a category, up to ten chips appear below showing descriptions from saved transactions and items already added to the current receipt in that category, excluding hidden notes. The list is filtered as you type. Tap anywhere inside a chip, including the space around its text, to fill the Description field and refresh suggested prices.
When adding or editing a receipt item, long-press a description chip to open the usual bottom sheet:
- Hide this suggestion hides that exact note in this category.
- Hide all suggestions in this category hides all current notes in the category, including notes from other unsaved items in this receipt and notes beyond the visible chips. It does not use the text currently typed in the Description field as a filter.
- Manage notes opens the selected category’s notes page.
When a category is selected and the Description field is empty (or contains only spaces), tap its right-hand three-dot button to open the same menu without Hide this suggestion. This remains available after all chips are hidden. The button is hidden when no category is selected or when you enter a note. The document icon on the left is decorative and has no long-press action.
Manage notes has Visible and Hidden toggles and starts on Visible. Visible includes distinct notes from saved transactions and other items already added to this receipt; duplicates appear only once. Hidden includes the category’s hidden notes. The category name appears in the app bar. Tap the hide icon on a Visible row or the restore icon on a Hidden row; tapping the row text does nothing. Restoring a draft-only note returns it to Visible while it is still present in this receipt.
Use the search icon in the app bar to open Search notes. It searches the current view across all records, including unloaded ones. Switching Visible/Hidden keeps the search text; the search-off icon clears it. Notes load in batches of 100 with Load more at the bottom. Switching views or changing search returns to the first batch.
The three-dot menu offers Hide all (N) on Visible and Restore all (N) on Hidden. With a nonempty search, these become Hide filtered (N) and Restore filtered (N). N counts all matching distinct notes, including unloaded notes and, on Visible, draft receipt notes. Actions run immediately without confirmation and affect only this category. Zero-count actions are disabled; loading or an ongoing action temporarily disables controls.
Use Back to return to the receipt item. Its entered description, amount, quantity, category, and tags are preserved, and suggestion chips refresh. Hiding or restoring never edits saved transaction notes or receipt items. Hidden choices are shared with Add/Edit Transaction and remain saved even if you cancel the receipt; a hidden draft-only note can be restored from Hidden later, but appears in Visible only if a saved transaction or the current receipt still contains it. Price suggestions and receipt history search remain available independently of hidden description chips. See Manage notes and description suggestions for empty states and detailed shared controls.
Tags
Tags Field:
- Add labels to this specific item
- Useful for tracking specific purposes (e.g., "Party supplies")
- Multiple tags can be selected
Tag Suggestions: Chips show your recently used tags for quick selection.
Note: The tags field only appears if you have the "Show tags on transaction creation" setting enabled.
Saving Items
Add Another (✓ button):
- When adding a new item, tap the checkmark to save and add another
- The form clears but keeps your category (and tags) selected for the next item
- A confirmation message appears briefly
- Continue adding items until you've entered everything
Save Edit:
- When editing an existing item, tap the checkmark to save changes
- You return to the receipt screen
Delete (trash icon):
- Only appears when editing an existing item
- Removes the item from the receipt
Remaining / excess bar (adding an item)
When you are adding a new item (not editing one) and the receipt has a total greater than zero, a bar at the bottom of the item screen shows how the already-added items compare with that total:
Remaining: $XX.XX
- The added items total less than the receipt total
- Tap Add remaining to fill the amount with the leftover and set Items Count to 1. You still choose a category (and other fields) and save the item with the checkmark.
Excess: $XX.XX
- The added items total more than the receipt total
- No action button is shown on this bar
Save receipt
- Appears on the bar when the added items already match the receipt total exactly
- Saves the whole receipt from the item screen using the items already added; it does not add the item you are currently typing
- After a successful save, you leave the receipt
This bar is hidden when you are editing an existing item, or when the receipt has no total yet.
Search History
At the bottom of the Add Receipt Item screen, a floating search button opens the Receipt History Search:
How it works:
- Search through your past transactions
- Find items you've purchased before
- Select a result to copy its category, description, and amount
- Great for items you buy regularly
When you have a contact selected on the receipt, the search prioritizes transactions with that contact, making it easy to find items you've bought at that store before.
Editing, Duplicating, and Deleting a Saved Receipt
Long-press a receipt group in a transaction list to open Edit, Duplicate, and Delete. These actions are also available from the receipt's transaction group page.
Long-press a single receipt item, including on category, section, contact, and tag lists where items are not grouped, and choose Edit receipt. The same action is in the three-dot menu on Edit Transaction for that item. It opens the receipt with all of its items. From Edit Transaction, leaving the receipt returns you to the list.
Edit opens the same form used to create a receipt, with all its items loaded even when the transaction list is filtered. Change the date, account, contact, or individual items; add items, remove items, or change quantities. The item total must match the receipt total before saving.
Changes stay in the form until you save. Saving updates the receipt and account balances together, preserving existing transaction identities where possible. Closing with no changes leaves immediately. If you changed the receipt, the app asks before discarding. Cancelling leaves the saved receipt untouched.
Duplicate opens a new receipt draft with the original items and today's date. Delete asks for confirmation before removing the entire receipt and all its transactions.
Editing Receipt Items
Tap any item in the items list to:
- Change its amount, count, category, description, or tags
- Delete the item from the receipt
Changes take effect immediately when you save.
Saving the Receipt
The save button (✓) in the top-right corner only appears when:
- You have at least one item
- Your items' total exactly matches the receipt total
When you save:
- Each item line becomes one transaction. Its amount is the line total (unit price × count), and the count is stored on that transaction
- Identical lines stay separate. Count is not combined across lines
- All transactions share the same date, account, and contact
- Each transaction goes to its respective category
- The items are linked together as a receipt group
Converting a Transaction to a Receipt
If you've already recorded a single transaction but want to split it:
- Open the transaction for editing
- Tap the three-dot menu (⋮)
- Select "Transform to Receipt"
- The receipt screen opens with the amount and contact pre-filled
- Add individual items to break down the purchase
- The original transaction is replaced when you save
Use this when:
- You recorded a quick total but want more detail later
- You realize a purchase spans multiple categories
- You have time to properly categorize a shopping trip
Viewing Receipt History
Receipts appear in your transaction history like regular transactions, but:
- On Transactions, account lists, and sets, items from the same receipt on the same day are grouped together. If they all use one category, the group title is that category name with a receipt icon after it. If they use different categories, the group title is Receipt and the icon on the left is the receipt icon.
- Category, section, contact, tag, and similar lists show each item on its own. A receipt icon after the category name (or after the description, when the category name is hidden) means that line belongs to a receipt.
- The receipt's total contact badge shows on all items
- Each item shows its category and line total. When the count is greater than 1, the line also shows ×N
Tip: Tap any receipt item to view and edit just that item, or view the contact to see all transactions at that store.
Tips for Using Receipts

Enter the total first - Start with the receipt total so you know when you've accounted for everything

Example: Grocery Store Receipt
Here's how you might enter a grocery store receipt:
Receipt header: Total $87.54, date today, account Checking Account, contact Supermart.
Items you add:
- Groceries — Fruits and vegetables, $23.45 × 1
- Groceries — Dairy (milk 2%), $6.50 × 2 → $13.00
- Groceries — Meat, $28.50 × 1
- Household — Paper products, $8.99 × 1
- Health — Vitamins, $13.60 × 1
The milk line uses count 2 so you enter one line (price × 2) instead of two separate lines. Your item total matches the receipt total, so the save button appears. When you save, you get five transactions, one per line. The milk transaction is $13.00 with count 2, shown as ×2 in the receipt's transaction list. The others are one each at their line amount. All share the same date, account, and contact, each in its category.
